The Social London Orchestra ("SLO", "we", "us") is committed to protecting your personal data. This notice explains what information we collect, why, how we look after it, and your rights. It applies to our members, audiences, donors, and supporters.

What information we collect

Depending on how you interact with us, we may collect:

• Your name, title, email address, and postal address

• Booking and attendance details for our concerts

• Donation details and Gift Aid declarations, where you choose to donate

• Membership information, if you play with the orchestra (including contact details and subscription records)

• Any preferences you tell us, such as whether you'd like to hear about future concerts

Why we collect it

• To manage concert bookings and keep you informed about events you've registered for

• To process donations and, where you've given a Gift Aid declaration, to claim Gift Aid from HMRC

• To administer membership of the orchestra

• To send you updates about future concerts, where you have given us permission to do so

We only use your information for the purpose you gave it for. We will not use data collected for a booking or donation to send you marketing unless you have separately opted in.

How we store your data

Your data is held securely on trusted platforms that we use to run the charity, including Ticket Tailor (ticketing and donations), GiveWheel (fundraising), Mailchimp (email updates), Google Workspace (records and files), NatWest Bankline (banking), and HMRC's online services (Gift Aid). Access is protected by passwords and, where available, two-factor authentication.

Who can access it

Access to personal data is limited to those who need it to carry out their role. Our trustees may access data as required to run the charity, and committee members may access the specific data relevant to their responsibilities. We do not sell or share your data with third parties for their own marketing.

How long we keep it

• Gift Aid records and declarations are kept for at least six years, as required by HMRC.

• Membership data is kept for the duration of your membership and for up to one year after you leave, after which it is securely deleted.

• Marketing contact details are kept until you ask us to stop contacting you.

Your rights

You have the right to ask us what data we hold about you, to have inaccurate data corrected, and to ask us to delete your data (although we may need to retain some records to meet legal obligations, such as Gift Aid). You can also withdraw consent for marketing at any time. To make any such request, please contact us at the address below.
